This Privacy Policy explains how Spectrum Healthcare Environmental Services (“Spectrum,” “we,” “us,” or “our”) handles information collected through our website, service-request forms, communications, assessments, and contracted environmental and infection prevention services.

We use reasonable administrative, technical, and physical safeguards appropriate to the information in our care. This policy does not replace a facility-specific Business Associate Agreement, service agreement, or legally required notice of privacy practices.

Depending on how you engage with Spectrum, we may collect:

• Contact details, job title, facility name, address, and service needs.
• Facility size, type, access instructions, scheduling details, floor plans, and safety information.
• Communications, training attendance, audit findings, incident reports, and service documentation.
• Limited health-related or protected information only when necessary and legally authorized to perform contracted services.
• Technical information such as browser type, device data, referring pages, and website usage information.

Do not submit patient records, diagnoses, Social Security numbers, or other sensitive information through a general website form unless Spectrum specifically provides an approved secure method.

• Review requests, prepare scopes, schedule services, and communicate with facility representatives.
• Deliver environmental services, infection prevention support, training, audits, and compliance documentation.
• Protect patients, residents, visitors, Spectrum staff, and contracted personnel.
• Meet legal, insurance, billing, recordkeeping, and regulatory obligations.
• Maintain, secure, and improve our website and operational systems.

Spectrum is not a healthcare provider and does not independently make clinical decisions. When Spectrum receives protected health information on behalf of a covered entity and qualifies as a business associate, we handle that information in accordance with HIPAA, applicable regulations, the governing Business Associate Agreement, and the minimum-necessary standard.

Access is limited to authorized personnel with a legitimate service need. Suspected unauthorized access, use, or disclosure must be reported promptly to info@spectrumevs.com.

We may maintain records related to OSHA training, Bloodborne Pathogen exposure-control practices, EPA-registered product use, CMS-related service support, hazard communication, PPE, regulated waste, incident response, facility floor plans, and emergency or fire-escape procedures. Access to this information is limited to authorized operational, safety, compliance, insurance, and legal purposes.

We may disclose information:

• To employees, approved contractors, insurers, advisors, and vendors who need it to perform authorized functions.
• To the client facility and its authorized representatives.
• When required by law, subpoena, regulator, CMS-related review, OSHA investigation, public-health request, or emergency response.

We do not sell personal information for money.

We retain information for as long as reasonably necessary for service, contractual, insurance, safety, tax, regulatory, dispute-resolution, and legal purposes. No system is completely secure, but Spectrum uses reasonable safeguards and expects clients to provide secure access, accurate authorized contacts, and prompt notice of access changes or known security incidents.

Subject to applicable law and contractual restrictions, you may request access, correction, or deletion of personal information by contacting us. We may need to verify identity and may retain records where required for legal, safety, insurance, or regulatory purposes.
